BLOCK A — PRIVATE AND FAMILY DAY HIKES

LIFETRAIL PRIVATE AND FAMILY DAY HIKE BOOKING CONDITIONS

1. AGREEMENT AND CONFIRMATION

By making this booking, the person booking agrees to these conditions and is responsible for providing accurate participant information. The booking is confirmed when full payment has been received and Rezdy issues confirmation.

2. PAYMENT AND BOOKING NOTICE

Full payment is required through Rezdy at the time of booking. A minimum of 48 hours’ notice is required for a 3-hour hike and 72 hours’ notice for a 6-hour hike.

3. CUSTOMER CANCELLATIONS

Cancellation requests must be sent by email to he***@***********om.au. The time LifeTrail receives the email determines the applicable cancellation period.

– More than 7 days before departure: Choose one free reschedule or a refund less a 10% administration fee.
– Between 48 hours and 7 days before departure: Choose one free date transfer or a credit for the full booking value, valid for 18 months from the original booking date. No cash refund is available.
– Less than 48 hours before departure or no-show: No refund, transfer or credit is available.

4. NAME TRANSFERS

The booking may be transferred to another suitable participant without charge when LifeTrail receives the request by email at least 24 hours before departure. The replacement participant must meet the health, ability and equipment requirements of the hike.

5. WEATHER, SAFETY AND CHANGES

Hikes normally proceed in rain, wind, mud and cold. LifeTrail may reasonably change the route, timing, distance or meeting arrangements, postpone the hike, or cancel when required for safety, guide incapacity, official weather or fire warnings, access restrictions, park or track closures, or another event outside LifeTrail’s reasonable control.

A reasonable route or itinerary change does not create a right to a refund when the guided experience can still be substantially provided.

If LifeTrail cancels before departure and cannot provide a reasonable equivalent alternative, the customer may choose a full refund of money paid to LifeTrail or a reschedule or credit.

6. PARTICIPANT SAFETY AND GUIDE AUTHORITY

Participants must follow the guide’s reasonable safety, route, pace and emergency instructions. Participants must arrive with the clothing, footwear, water and equipment stated in the booking information.

LifeTrail may refuse or discontinue participation where a participant’s equipment, health, behaviour, capability or refusal to follow safety instructions creates a material risk to themselves or others. Any refund or credit will be determined under these conditions and the Australian Consumer Law.

7. MEDICAL INFORMATION

Participants must disclose relevant medical conditions, allergies, medications, injuries and support needs before the hike. Participants are responsible for personal medical, ambulance and travel costs and should consider suitable ambulance, health or travel cover.

8. OUTSIDE COSTS AND CONSUMER RIGHTS

LifeTrail is not responsible for separately booked travel, accommodation, equipment or other outside costs, except where required by law.

Nothing in these conditions excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law.

BLOCK B — UNACCOMPANIED MINOR DAY HIKES

LIFETRAIL UNACCOMPANIED MINOR DAY HIKE BOOKING CONDITIONS

1. PARENT OR GUARDIAN AGREEMENT

The booking must be made by a parent or legal guardian. By booking, that person agrees to these conditions and accepts responsibility for providing accurate participant, health, emergency-contact and collection information.

2. PAYMENT, CONFIRMATION AND REQUIRED FORMS

Full payment is required through Rezdy at the time of booking. The participant’s place remains conditional until the required parent or guardian consent, participant waiver and medical/personal information forms have been completed.

Forms must be completed within 7 days after booking and no later than 7 days before departure. LifeTrail will send a reasonable reminder before cancelling a place for missing forms. A participant cannot attend without the completed forms. If the place is cancelled because forms remain incomplete, the cancellation rules below apply.

3. CUSTOMER CANCELLATIONS AND TRANSFERS

Requests must be sent by email to he***@***********om.au.

– More than 7 days before departure: Choose one date transfer or a credit for an equivalent LifeTrail minor day hike, subject to availability.
– Between 48 hours and 7 days before departure: An eligible name transfer may be accepted. No cash refund is available.
– Less than 48 hours before departure or no-show: No refund, transfer or credit is available.

A replacement participant must satisfy the stated age, suitability, health, form and equipment requirements.

LifeTrail may reasonably change the route, timing, distance or collection arrangements, postpone the hike, or cancel when required for safety, guide incapacity, official weather or fire warnings, access restrictions, park or track closures, or another event outside LifeTrail’s reasonable control.

A reasonable route or itinerary change does not create a right to a refund when the guided experience can still be substantially provided.

If LifeTrail cancels before departure and cannot provide a reasonable equivalent alternative, the booking parent or guardian may choose a full refund of money paid to LifeTrail or a reschedule or credit.

5. HEALTH, SUITABILITY AND GUIDE AUTHORITY

Relevant medical conditions, allergies, medications, injuries, dietary requirements and physical, sensory or behavioural support needs must be disclosed before participation.

Participants must follow the guide’s reasonable safety, route, pace, conduct and emergency instructions. LifeTrail may refuse or discontinue participation where equipment, health, behaviour, capability, undisclosed information or refusal to follow instructions creates a material risk to the participant or others. Any refund or credit will be determined under these conditions and the Australian Consumer Law.

6. DEVICES AND COMMUNICATION

Personal entertainment and recording devices are not permitted on the trail. Necessary medical-monitoring devices are permitted when disclosed in advance. Mobile reception and direct contact with the group may be limited or unavailable during the hike. The guide carries the emergency communication and location equipment appropriate to the activity.

7. SIGN-IN, SUPERVISION AND COLLECTION

LifeTrail’s active supervision begins when the participant is signed in with the guide at the designated time and place. It ends when the participant is signed out to an authorised collector.

The authorised collector should arrive at least 10 minutes before the scheduled collection time. A late collection fee of $30 applies for each 15-minute period beginning 15 minutes after the scheduled collection time. LifeTrail may contact emergency, police or child-protection services when reasonably necessary to protect an uncollected child.

8. PERSONAL PROPERTY, OUTSIDE COSTS AND CONSUMER RIGHTS

Participants are responsible for personal property brought to the hike. Natural trail conditions may cause clothing, footwear and equipment to become wet, muddy, soiled or damaged.

LifeTrail is not responsible for separately booked travel, accommodation, equipment or other outside costs, except where required by law.

Nothing in these conditions excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law.

BLOCK C — TEEN MULTIDAY HIKES
============================================================

LIFETRAIL TEEN MULTIDAY HIKE BOOKING CONDITIONS

1. REQUEST-ONLY BOOKING

The booking must be made by a parent or legal guardian. Teen multiday places are request-only. Before accepting a booking, LifeTrail may discuss the participant’s goals, experience, physical capability, medical considerations, Duke of Edinburgh Award level and available dates. A place is confirmed only when LifeTrail accepts the request in writing.

2. DEPOSIT AND BALANCE

The deposit is due within 7 days after written acceptance, or immediately when the booking is accepted close to a payment deadline:

– 3-day hike: $100 per participant
– 5-day hike: $200 per participant
– 7-day hike: $300 per participant

The remaining balance is due 60 days before departure. Payment reminders may be sent at 60, 58 and 55 days. If the balance remains unpaid after the final reminder, LifeTrail may cancel the booking. The deposit will be retained and any additional amount paid will be refunded.

3. MINIMUM AND MAXIMUM NUMBERS

Teen multiday hikes ordinarily require a minimum of 10 and a maximum of 12 participants. LifeTrail will confirm whether the departure will proceed no later than 50 days before departure.

If LifeTrail cancels because minimum numbers have not been reached, the booking parent or guardian may choose a full refund of money paid to LifeTrail or, where available, a transfer to another departure.

4. CUSTOMER CANCELLATIONS

Cancellation requests must be sent by email to he***@***********om.au. The time LifeTrail receives the email determines the cancellation period.

– More than 60 days before departure: The deposit is retained and other money paid is refunded.
– 60 days or less before departure or no-show: No refund is ordinarily available because operational and third-party commitments have been made. If LifeTrail is able to reasonably recover or avoid a committed cost, the recoverable amount will be returned after deducting the applicable deposit and non-recoverable costs.

No additional penalty is imposed merely because a withdrawal affected the minimum group size.

5. TRANSFERS AND THIRD-PARTY COSTS

Date and name transfers are not available unless LifeTrail agrees in writing. Any non-recoverable transport, accommodation or other third-party commitment will be identified in the confirmed itinerary or booking information.

6. REQUIRED FORMS, HEALTH AND SUITABILITY

The parent or guardian must complete all required consent, participant waiver and medical/personal information forms by the stated deadline. Relevant medical conditions, allergies, medications, injuries, dietary requirements and physical, sensory or behavioural support needs must be disclosed before participation.

LifeTrail may decline or discontinue participation where a participant’s health, behaviour, capability, equipment, undisclosed information or refusal to follow instructions creates a material risk to the participant or others. Any refund or credit will be determined under these conditions and the Australian Consumer Law.

7. PRE-HIKE BRIEFINGS

Attendance at two online pre-hike briefings is required. If a participant cannot attend a group briefing, a private replacement briefing must be completed before departure. The disclosed private-briefing rate is $70 per hour.

8. GUIDE AUTHORITY AND CONDUCT

Participants must follow the guide’s reasonable safety, route, pace, conduct and emergency instructions. Alcohol, illegal drugs, smoking and vaping are prohibited. Personal entertainment devices are not permitted on the hike, except for necessary medical-monitoring devices disclosed in advance.

9. WEATHER, SAFETY AND LIFETRAIL CANCELLATIONS

LifeTrail may reasonably change the route, itinerary, timing or distance, postpone, or cancel when required for safety, guide incapacity, official weather or fire warnings, access restrictions, park or track closures, group viability or another event outside LifeTrail’s reasonable control.

A reasonable route or itinerary change does not create a right to a refund when the guided experience can still be substantially provided.

If LifeTrail cancels before departure and cannot provide a reasonable equivalent alternative, the booking parent or guardian may choose a full refund of money paid to LifeTrail or a transfer or credit.

10. INSURANCE, MEDICAL COSTS AND OUTSIDE COSTS

Comprehensive domestic travel insurance with suitable cancellation and ambulance cover is strongly recommended from the date the deposit is paid. Participants remain responsible for personal medical, ambulance, evacuation and travel costs.

LifeTrail is not responsible for separately booked travel, accommodation, equipment or other outside costs, except where required by law.

11. CONSUMER RIGHTS

Nothing in these conditions excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law.
